Unleashed Integration — Shopify Edited Order Sync (Account Editor)

This guide helps merchants using Unleashed (IMS) understand how to configure the integration so that Account Editor order edits are always reflected correctly. Unleashed does not read live edits — orders must be fully finalized before Unleashed downloads them.

Important: Unleashed uses the **Account Editor Delayed Master Flow to delay order downloads. Payment is held in Authorized state while customers edit, then the Flow captures payment automatically after the grace period — triggering Unleashed to download the finalized order.**

How the Integration Works

Unleashed downloads orders from Shopify only when payment status is "Paid". The Account Editor Delayed Master Flow creates a grace period between order creation and payment capture — giving you time to edit the order in Account Editor before Unleashed ever sees it.

Step 1 — Order Created

Customer places an order → Payment is Authorized (not yet captured).

Step 2 — Grace Period Active

The editing window opens. The customer or merchant can make changes in Account Editor — add items, remove items, adjust quantities, update the delivery address.

Step 3 — Unleashed Skips the Order

Because payment status is still `Authorized`, Unleashed does not download the order. The order remains invisible to Unleashed for the entire editing window.

Step 4 — Grace Period Ends

Shopify Flow automatically captures payment → Status updates to Paid.

Step 5 — Unleashed Downloads

Unleashed sees the order for the first time with all edits already included — correct items, quantities, and totals.

Step-by-Step Setup

📋 Step 1 — Change Payment Capture Setting in Shopify

Set Shopify to hold payment in Authorized state so Unleashed cannot import the order until editing is complete and payment is captured.

Log in to Shopify Admin
Go to Settings → Payments
Scroll down to Payment capture method
Select "Automatically after fulfillment"
Click Save

⚠️ 7-day limit: Shopify Payments authorizations expire after 7 days. Always ensure your grace period sits well within this window.

⚡ Step 2 — Import the Account Editor Delayed Master Flow

The Account Editor Delayed Master Flow holds payment capture open for a configured grace period, then triggers it automatically — signalling Unleashed to download the finalized order.

Download the Account Editor Delayed Master Flow file (provided with this guide)
In Shopify Admin, go to Apps → Shopify Flow
Click Import and select the downloaded .flow file
Configure the grace period timing to match your editing deadline (e.g., 30 minutes)
Click Activate to enable the Flow
Click Save

After the wait, it automatically captures payment — changing the status from Authorized to Paid. Unleashed then downloads the order with all edits included.

🚫 Step 3 — Disable Shipping Methods App Block in Account Editor

Unleashed does not support shipping method changes during the editing window. To prevent customer confusion, you must disable the Shipping Methods App Block in Account Editor settings.

Open your Account Editor app settings in Shopify Admin
Navigate to the App Blocks configuration
Find the Shipping Methods App Block
Toggle it OFF
Click Save

🛑 Do not skip this step. If the Shipping Methods App Block is left enabled, customers may attempt to change their shipping method during the editing window. Unleashed will not reflect these changes, leading to incorrect shipping and customer complaints.

✏️ Step 4 — Your Account Editor Workflow

Once the Flow is active and the Shipping Methods block is disabled, every order runs like this automatically:

New order arrives → Payment = Authorized (Unleashed cannot see it ✅)
Grace period active → Customer edits in Account Editor — add/remove items, change quantities, update address
Grace period expires → Shopify Flow captures payment automatically
Status flips to Paid → Unleashed downloads the finalized order ✅
Order is fulfilled with all edits included — no manual steps needed

What happens after this setup:

✅ Correct order total — removed items not counted
✅ Added items appear correctly in Unleashed
✅ Quantity changes reflected accurately
✅ Address changes included at download
✅ No manual payment capture needed — fully automated

✅ Setup complete! Unleashed will always receive the final, correctly edited order. The entire flow is automated — no manual capture or Unleashed configuration required.

Testing Checklist

Before going live, run through this checklist to confirm everything works correctly:

✅ Place a test order — verify it does not appear in Unleashed immediately
✅ Make edits during the editing window — add/remove items, change address
✅ Wait for the grace period to expire
✅ Confirm payment is captured automatically by the Flow
✅ Confirm order appears in Unleashed with all edits included
✅ Verify shipping method changes are blocked (App Block disabled)

Troubleshooting

Best Practices

Always disable the Shipping Methods App Block — Unleashed cannot process shipping changes
Keep the grace period short — 30 minutes to 2 hours is ideal for most stores
Sync the editing deadline in Account Editor with the Flow timing so customers see an accurate countdown
Monitor Shopify Flow run history after launch to confirm payment captures are firing correctly
Test the full flow end-to-end before going live with real orders
