James & James Integration — Shopify Edited Order Sync (Account Editor)
This guide helps merchants using James & James (3PL/WMS) understand how to configure the integration so that Account Editor order edits are always reflected correctly. James & James does not read live edits — order changes must be synced before James & James downloads the order.
Authorized state while customers edit, then the Flow captures payment automatically after the grace period — triggering James & James to download the finalized order.**How the Integration Works
James & James downloads orders from Shopify only when payment status is "Paid". The Account Editor Delayed Master Flow creates a grace period between order creation and payment capture — giving you time to edit the order in Account Editor before James & James ever sees it.
Step 1 — Order Created
Customer completes checkout → Order is created in Shopify.
Step 2 — Payment Authorized
Payment status remains "Authorized" (not "Paid"). The payment is held but not captured.
Step 3 — Grace Period Active
The editing window opens (e.g., 30 minutes). Customer can edit the order in Account Editor — add items, remove items, change quantities, apply discount codes, update address.
Step 4 — James & James Does Not Download
Because payment status is still Authorized, James & James does not see the order. The order is completely invisible to James & James during the entire editing window.
Step 5 — Grace Period Ends
The editing window expires. No further customer edits are accepted.
Step 6 — Payment Captured
Account Editor Delayed Master Flow automatically captures the payment. Order status updates to "Paid".
Step 7 — James & James Downloads Order
James & James sees the order for the first time with all edits already included — correct items, quantities, discounts, and totals.
Step-by-Step Setup
📋 Step 1 — Enable Manual Payment Capture in Shopify
Set Shopify to hold payment in Authorized state so James & James cannot import the order until editing is complete and payment is captured.
- Log in to Shopify Admin
- Go to Settings → Payments
- Scroll down to Payment capture method
- Select "Manually capture payment for orders"
- Click Save
⚡ Step 2 — Import the Account Editor Delayed Master Flow
The Account Editor Delayed Master Flow is a pre-built Shopify Flow automation that holds payment capture for a configurable grace period, then captures automatically — triggering James & James to download the finalized order.
- Download the Account Editor Delayed Master Flow file (provided with this guide)
- In Shopify Admin, go to Apps → Shopify Flow
- Click Import and select the downloaded
.flowfile - Configure the grace period timing to match your editing deadline (e.g., 30 minutes)
- Click Activate to enable the Flow
- Click Save
Authorized to Paid. James & James then downloads the order with all edits included.📧 Step 3 — Contact James & James Support
James & James must update your account settings to handle removed product lines correctly. Without this configuration, removed items may still appear on pick lists with zero quantity.
What to request: Email your James & James account manager or support team with the following:
Subject: Update Fulfillable Quantity Setting for Order Editing Integration
Hi James & James Team,
We've integrated Order Editing with our Shopify store to allow customers to modify orders post-purchase. To ensure this works correctly with your fulfillment system, we need to update our account settings.
Request: Please update our fulfillable quantity setting to not download removed product lines when syncing orders from Shopify.
Why this matters: Customers can remove items during the Order Editing window. When items are removed, the fulfillable quantity becomes zero. We need your system to recognize this and exclude those lines from the pick list.
Our setup:
- Store: [Your Shopify store URL]
- Account #: [Your James & James account number]
- Integration: Delayed Payment Capture (orders download only after payment captured)
Expected behavior after this change:
- Customer removes Item A from order
- Item A fulfillable quantity = 0
- Order syncs to James & James after editing window
- Item A does not appear on pick list (because quantity = 0)
Please confirm this setting has been updated and let us know if you need any additional information.
⏱️ Step 4 — Configure the Editing Deadline
Set how long customers have to edit their order before the grace period expires and payment is captured. This deadline should match the timing configured in the Shopify Flow.
- Open Account Editor app settings
- Find the Editing Deadline setting
- Set the deadline to match your Flow timing (e.g., 30 minutes)
- Click Save
✏️ Step 5 — Your Account Editor Workflow
Once setup is complete, this is the automated flow for every order:
- New order arrives → Payment = Authorized (James & James does not see it ✅)
- Grace period active → Customer can edit in Account Editor — add/remove items, change quantities, update address
- Grace period expires → Shopify Flow automatically captures payment
- Payment becomes Paid → James & James downloads the finalized order ✅
- Order is shipped with all edits included — no manual intervention needed
What happens after this setup:
- ✅ Correct order total — removed items not counted
- ✅ Added items appear correctly in James & James
- ✅ Quantity changes reflected accurately
- ✅ Address changes included in the download
- ✅ No manual payment capture needed — fully automated

Testing Your Integration
Before going live, run through all three test scenarios and the general flow to confirm James & James integration works correctly.
🧪 Test 1 — Removal of Products
Verify removed items don't appear in James & James.
- Place a test order with multiple items
- During the editing window, remove one or more products
- Wait for the editing period to expire
- Verify James & James receives the order with correct items only — removed products should not appear
🧪 Test 2 — Addition of Products (Upsell)
Verify added items appear in James & James.
- Place a test order
- During the editing window, add a product via upsell
- Complete payment for the additional item
- Wait for the editing period to expire
- Verify James & James shows the added product with correct quantity
🧪 Test 3 — Shipping Address Changes
Verify address updates reflect in James & James.
- Place a test order with Address A
- During the editing window, change to Address B
- Wait for the editing period to expire
- Verify James & James shows Address B (not Address A) on the shipping label
📋 General Test Flow
End-to-end verification:
- ✅ Place a test order — verify it does not appear in James & James immediately
- ✅ Make edits during the editing window — add/remove items, change address
- ✅ Wait for the editing period to expire
- ✅ Confirm payment is captured automatically by the Flow
- ✅ Confirm order appears in James & James with all edits included
- ✅ Verify all changes are reflected accurately
Troubleshooting

Best Practices
- Keep the grace period short — 30 minutes to 2 hours is ideal for most stores
- Wait for James & James confirmation before going live — the fulfillable quantity setting must be updated on your account
- Sync the editing deadline in Account Editor with the Flow timing so customers see an accurate countdown
- Monitor Shopify Flow run history after launch to confirm payment captures are firing correctly
- Test the full flow end-to-end before going live with real orders
