Fulfillrite Integration — Shopify Edited Order Sync (Account Editor)

This guide helps merchants using Fulfillrite (3PL) understand how to configure the integration so that Account Editor order edits are always reflected correctly. Fulfillrite does not read live edits — orders must be fully finalized before Fulfillrite downloads them.

Important: Fulfillrite uses the **Account Editor Delayed Master Flow to delay order downloads. Payment is held in Authorized state while customers edit, then the Flow captures payment automatically after the grace period — triggering Fulfillrite to download the finalized order.**

How the Integration Works

Fulfillrite downloads orders from Shopify only when payment status is "Paid". The Account Editor Delayed Master Flow creates a grace period between order creation and payment capture — giving you time to edit the order in Account Editor before Fulfillrite ever sees it.

Step 1 — Order Created

Customer completes checkout → the order is created in Shopify.

Step 2 — Payment Authorized

Payment status remains Authorized (not yet captured).

Step 3 — Grace Period Active

The editing window opens. The customer can make changes in Account Editor — add items, remove items, adjust quantities, update the delivery address.

Step 4 — Fulfillrite Skips the Order

Because payment status is still Authorized, Fulfillrite does not download the order. The order is invisible to Fulfillrite for the entire editing window.

Step 5 — Grace Period Ends

The editing window closes → no further changes are accepted.

Step 6 — Payment Captured

The Flow automatically captures payment → order status updates to Paid.

Step 7 — Fulfillrite Downloads the Order

Fulfillrite sees the order for the first time with all edits already included — correct items, quantities, and totals.

Step-by-Step Setup

⚡ Step 1 — Import the Account Editor Delayed Master Flow

The Account Editor Delayed Master Flow holds payment capture open for a configured grace period, then triggers it automatically — signalling Fulfillrite to download the finalized order.

  1. Download the Account Editor Delayed Master Flow file (provided with this guide)
  2. In Shopify Admin, go to Apps → Shopify Flow
  3. Click Import and select the downloaded .flow file
  4. Configure the grace period timing to match your editing deadline (e.g., 30 minutes)
  5. Click Activate to enable the Flow
  6. Click Save

⬇️ Download Account Editor Delayed Master Flow📝 How the Flow works: When a new order is created, the Flow waits for the configured grace period. After the wait, it automatically captures payment — changing the status from Authorized to Paid. Fulfillrite then downloads the order with all edits included.

📋 Step 2 — Enable Manual Payment Capture in Shopify

Switching to Manual capture gives the Flow full control over when payments are charged — which is what creates the editing window.

  1. Log in to Shopify Admin
  2. Go to Settings → Payments
  3. Find Payment capture method
  4. Change it from "Automatically at checkout" to "Manually"
  5. Click Save

⚠️ 7-day limit: Shopify Payments authorizations expire after 7 days. Always ensure your grace period sits well within this window.

✏️ Step 3 — Your Account Editor Workflow

Once the Flow is active and payment capture is set to Manual, every order runs like this automatically:

  1. New order arrives → Payment = Authorized (Fulfillrite cannot see it ✅)
  2. Grace period active → Customer edits in Account Editor — add/remove items, change quantities, update address
  3. Grace period expires → Shopify Flow captures payment automatically
  4. Status flips to Paid → Fulfillrite downloads the finalized order ✅
  5. Order is fulfilled with all edits included — no manual steps needed

What happens after this setup:

  • ✅ Correct order total — removed items not counted
  • ✅ Added items appear correctly in Fulfillrite
  • ✅ Quantity changes reflected accurately
  • ✅ Address changes included at download
  • ✅ No manual payment capture needed — fully automated

✅ Setup complete! Fulfillrite will always receive the final, correctly edited order. The entire flow is automated — no manual capture or Fulfillrite configuration required.

Testing Your Integration

Complete all tests below before going live to confirm the Flow and Fulfillrite sync are both working as expected.

🧪 Test 1 — Delayed Payment Verification

  1. Place a test order
  2. Check Fulfillrite immediately — verify the order does not appear
  3. Wait for the editing period to expire
  4. Verify the order now appears in Fulfillrite with payment captured

🧪 Test 2 — Edit Synchronization

  1. Place a test order with multiple items
  2. During the editing window, remove one or more products
  3. Wait for the editing period to expire
  4. Verify Fulfillrite receives the order with correct items only — removed products should not appear

📋 General Test Flow

  • ✅ Place a test order — check Fulfillrite immediately and confirm the order does not appear
  • ✅ Make edits during the editing window — add/remove items, change the delivery address
  • ✅ Wait for the grace period to expire
  • ✅ Check Fulfillrite again — the order should now appear with all edits applied correctly

Troubleshooting

Issue

Likely Cause

Fix

Fulfillrite receives the order before the editing window closes

Payment capture is still set to automatic, or the Flow is not active

Confirm payment capture is set to Manually and the Delayed Master Flow shows as Active in Shopify Flow

Order never appears in Fulfillrite after the grace period

Flow is not capturing payment correctly

Open Shopify Flow → check the run history → look for errors → re-import the Flow if needed

Edits not reflected in the order Fulfillrite receives

Changes were made after the grace period had already closed

All edits must be saved while the editing window is still open — Fulfillrite reads the order only at the point of download

Authorization expired before payment was captured

Grace period ran past the 7-day Shopify authorization limit

Shorten the grace period — keep it well under 7 days, ideally between 30 minutes and 2 hours

Best Practices

  • Keep the grace period short — 30 minutes to 2 hours is ideal for most stores
  • Sync the editing deadline in Account Editor with the Flow timing so customers see an accurate countdown
  • Monitor Shopify Flow run history after launch to confirm payment captures are firing correctly
  • Test both scenarios — delayed payment verification and edit synchronization — before going live with real orders
